100+ features. One platform.
The governance optimisation platform built for clinicians and clinics — patient management, clinical records, compliance, staff training, policies and audits, fully integrated from day one.
Chasing overdue audits, watching expiry dates, building the evidence trail as you work — that job costs £30,790 a year if a person does it, and £11,768 in the first year if consultants do it. INTENTIQ is £3,000. Every figure is published with its source.
The whole platform
Twelve domains. Fifty-plus modules.
One connected record.
Governance software usually means a folder structure with ambitions. INTENTIQ is the working system your clinic runs on — which is why the evidence exists as a by-product of the day, not as a scramble before an inspection.
Open any domain to see what sits inside it. ★ marks a capability competitors do not offer.

AI agents working inside every section
INTENTIQ doesn’t just store your data — a team of specialist AI agents actively watches over each area of governance, spotting gaps and doing the legwork for you. No other clinic platform ships intelligence like this.
Compliance Assistant
Monitors your compliance items, answers questions, and helps with documentation — tracking checklists, training, audits, HR records and safety notices. Generates charts from your recorded data on demand.
Document Control Agent
Automatically scans governance documents, extracts metadata, maps each to the relevant CQC requirement, and maintains a fully CQC-compliant document control register — no manual filing.
Hazard Assistant
Assists with creating and managing workplace hazards aligned to CQC Regulation 12. Analyses your risk register to identify and suggest hazards with appropriate controls and risk assessments.
Risk Monitoring Agent
AI-powered risk governance that monitors incidents and guides each risk through a structured lifecycle — with hard governance gates and domain-specific constraints so nothing slips.
Staff Profile Assistant
Helps manage staff profiles, HR records, training and compliance tasks — keeping every team member’s governance record complete and inspection-ready.
Training Compliance Agent
Automates training compliance: tracks mandatory training completion, sends reminders for overdue assignments, and manages certification renewals automatically.
Staff HR: every staff record an inspector asks for, in one place
Schedule 3 of the CQC regulations lists eight pieces of information you must hold for everyone you employ, from proof of identity and a DBS certificate to a full employment history with gaps explained. In most small clinics they are spread across emails, folders and memory. The Staff HR module keeps them on each person’s record, with expiry and review dates that flag themselves before they lapse.

Profile & identity
Role, department, start and review dates, address and emergency contacts, with each clinician’s authorised scope of practice on record.
- Role badges from administrator to contractor
- Scope of practice held on the profile
- Profile photo stored privately
Right to work & DBS
The pre-employment checks Regulation 19 and Schedule 3 ask for, held against the person rather than in a folder.
- DBS level, certificate number and expiry, verified by a manager
- Identity, conduct and good character checks
- Health capability and continuing fitness declarations
Qualifications & registration
Every qualification with its certificate, institution and registration details, plus contracts, job descriptions, references and induction.
- NMC, GPhC and HCPC numbers recorded
- Revalidation dates tracked
- Employment history and role assurance profile
Performance & development
Appraisals with competency ratings, probation and return-to-work reviews, and development plans that carry their own evidence.
- Five-domain personal development plans
- Prescribing audits with case review and reflection
- Staff goals marked on track, at risk or behind
Training & CPD
A training matrix split into mandatory, clinical, digital and prescribing, alongside each person’s CPD portfolio.
- CPD with evidence and reflective records
- Skills gap analysis against role requirements
- Peer supervision records
Day to day
The working record of each team member, in the same place as their compliance file.
- Timesheets with anomaly checks
- Holiday, sickness and return to work
- Disciplinary and grievance records, kept confidential
Confidential HR records such as sickness, disciplinary and grievance notes stay access-controlled and are never shared outside the clinic. The module helps evidence Regulations 18 and 19; the checks themselves remain the clinic’s responsibility.
Dermatology
Structured skin assessment, longitudinal lesion tracking, and safety-netting that does not rely on memory. Aesthetic and wellness clinics increasingly see skin that needs more than a treatment plan — a mole that has changed, a plaque that is not settling, a patient who wants reassurance. This module gives clinicians a proper record for that work, and gives the governance lead the evidence trail it produces.
Fitzpatrick skin phototyping
Record and date each patient’s Fitzpatrick type, with the assessing clinician captured against it. It sits on the patient’s health record, so laser, IPL and peel settings are chosen against a documented phototype rather than a judgement made in the room.
- Type and assessment date held on the health record
- Assessing clinician attributed
- Informs laser, IPL and peel parameters
Structured lesion register
Every lesion gets its own record and its own reference — site, laterality, precise location, morphology, dimensions, colour and border description, dermoscopy findings, patient-reported symptoms and a working clinical impression.
- Full ABCDE screen built in
- Individual reference per lesion
- “Has this changed since last year?” is answerable from the record
Clinical photography per lesion
Photographs attach to the individual lesion, each stamped with its capture date and body site, so change over time reads as a sequence rather than a folder of loose images.
- Capture date and body site stamped on every image
- Held in private storage
- Viewable only by signed-in staff
Validated outcome measures
PASI severity scoring and validated dermatology quality-of-life measures, captured over time alongside the patient’s other health metrics — so severity and quality-of-life trends chart against treatment rather than sitting in isolation.
- Scored repeatedly, not once
- Charts alongside other health metrics
- Trends visible against treatment
Review dates that chase themselves
Set a review date and the platform tracks it. Overdue reviews are surfaced to the assessing clinician automatically each week, with suspected-cancer two-week-wait cases raised as high priority.
- Weekly automatic surfacing of overdue reviews
- Two-week-wait cases escalated
- Reminders re-arm if a date moves, and stop once actioned
Closed-loop referral tracking
Log the referral, its urgency — routine, urgent or two-week-wait — where it went, and crucially the outcome that came back. Referrals stop being a dead end in the notes.
- Urgency recorded against every referral
- Destination and outcome captured
- Loop closed, not left open
Evidence for the governance file
Structured, timed, attributed records with photographic corroboration, documented safety-netting advice and demonstrable follow-up on abnormal findings. The module does not produce a compliance claim — it produces the underlying evidence an inspector asks to see.
- Timed and attributed by default
- Safety-netting advice documented
- Follow-up on abnormal findings demonstrable
Per-tenant switch
Dermatology is enabled per clinic. Switch it on for the sites that offer skin services and leave it off elsewhere. All records are isolated to the owning clinic.
- Enabled per clinic, not globally
- Records isolated to the owning clinic
- No change for sites that do not use it
Capabilities no competitor offers
Six features unavailable anywhere else at any price point in the UK clinic-management market.
Stock-to-MHRA Alert Matching
Incoming MHRA device safety alerts are automatically checked against your live stock by batch number — with a signed, timestamped record of the check. No competitor closes this loop between national alerts and your actual shelf.
Governance Audit Framework
19 CQC-mapped audit modules with real-time compliance dashboard. No competitor integrates governance auditing at this depth — or maps each audit directly to a specific CQC regulation.
Partner Training Repository
Build, publish, and licence your own compliance training modules to an entire clinic portfolio. A standalone commercial model no other platform enables.
CQC & VAT Compliant Note Templates
Three pre-built clinical note templates mapped to CQC Reg 17 and HMRC VAT exemption requirements. Unique in the UK market — no competitor ships compliance-tagged documentation templates.
Multi-Tenant Clinic Network
One platform, multiple clinics — each with fully isolated data, branding, and compliance records. Built for multi-site clinic groups and franchise models from the ground up.
Injection Mapping & Product Traceability
Visual face and body mapping with product batch tracking, lot numbers, and dose documentation linked directly to the patient record and consent form.
Built-in Learning Management System
Video training modules, competency assessments, and auto-logged CQC evidence — all within the platform. Staff training compliance tracked automatically against each individual’s record.
47 automated actions. Zero manual steps.
Intentiq does not just store data — it acts on it. Every module contains intelligent automation that triggers on clinical events, compliance deadlines, and patient milestones — without manual intervention.
Incident & Complaint automation, done for you
Log an incident or complaint and INTENTIQ acts on it — the two most inspection-critical workflows, automated end to end.
📝 Incident pathway
Auto-creates the patient clinical note, updates the Risk Register on moderate+ harm, notifies managers by app & email, and flags Duty of Candour / CQC-notifiable cases (Reg 18, Reg 20) on the Governance Alert Board — with corrective actions tracked to completion.
📋 Complaint pathway
Forces escalation screening at intake, red-flags ongoing risk, auto-flags CQC-notifiable & critical complaints and Duty of Candour thresholds, enforces RAG response times and 24h acknowledgement, and captures CAPA at closure.
Your evidence, written the way an inspector reads it
Open any completed audit and INTENTIQ shows a five-step evidence trail — audit completed, findings identified, actions taken, effectiveness verified, improvement demonstrated. One click writes the inspector-ready paragraph, per audit or across every audit for a single regulation.
📝 Per-audit narrative
The Evidence Story card reads that audit’s findings, actions, outcome and compliance score, then writes a 3–5 sentence CQC-ready paragraph you can copy straight into governance reports or board papers.
📊 Per-regulation narrative
Filter Compliance Reports by regulation — say Reg 12, safe care and treatment — and generate a 4–8 sentence summary across up to 15 audits, including where evidence gaps remain.
The AI doesn’t invent data — it reads your real audit records. Where a step is incomplete, it tells you what would strengthen the evidence.
Closure isn’t the end of a safeguarding concern
Every safeguarding record now runs the full eight-step journey — concern, protect, report, respond, learn, act, review, safer practice. Most systems stop at “reported”. INTENTIQ carries the concern through a structured Learn → Act → Review loop, so the improvement is captured at the time rather than reconstructed months later.
💡 Learn → Act → Review
Captures new risks, service gaps and training needs; records the actions taken against a structured checklist — care plans, risk assessments, training, staffing, policy; then sets a review date and records whether safety actually improved, as Yes, Partially or No, with a named reviewer.
📋 Nothing slips quietly
Each incident carries a review badge on the list itself — Review Due, Review Overdue or Reviewed ✓ — so a governance lead spots an open loop without opening a file. The report view opens with a step-progress indicator showing exactly which stages are complete.
Every clinic can show the prescription
Far fewer can show what happened next. INTENTIQ records the full weight-management chain — screen, consent, prescribe, dispense, titrate, review, outcome. Most systems are strong to “dispensed” and go quiet after it, which is precisely where an inspection goes.
💊 Built for GLP-1, not bolted on
A dedicated consent form for tirzepatide, semaglutide and liraglutide — fourteen contraindication checks including MEN 2, thyroid history and pancreatitis, BMI recorded at consent and tracked over time, dose reminders by SMS, dose-escalation acknowledgement, cold-chain consent and dual signatures. Select a weight-management procedure in the treatment wizard and the correct form is presented automatically.
⚖️ The right registration, first time
Most clinics adding weight-loss injections assume they need CQC registration for “services in slimming clinics”. Often they do not — that activity applies where prescribing is by or under the supervision of a registered medical practitioner, at a physical location. Nurse and pharmacist prescribers fall under treatment of disease, disorder or injury instead.
Encrypted prescriptions to the pharmacy
Send a prescription to the dispensing pharmacy as an encrypted, password-protected file through a secure link. The password is given to the pharmacy over the phone, never in the same message as the link, so anyone who intercepts the email alone cannot open the prescription.
🔒 Secure link, 3-hour expiry
The pharmacy receives a secure link to the encrypted prescription. The link stops working after 3 hours, so patient data does not sit open in an inbox.
📞 Password by phone
The clinic reads the password to the pharmacy by phone. The link and the key travel on two separate channels, never together.
Ready for the framework that hasn’t landed yet
CQC is replacing its quality statements with sector-specific frameworks built on Key Lines of Enquiry. All 26 KLOEs are now live inside INTENTIQ — with their topic areas and their full four-level rating descriptors, so you can read in CQC’s own words what separates Good from Requires improvement.
📚 The whole framework, not a summary
Twenty-six KLOEs across Safe, Effective, Caring, Responsive and Well-led. Two hundred and sixty-three discrete requirements drawn from the “Good” descriptors, each linked to the INTENTIQ modules that already hold the evidence — risk register, training matrix, consent forms, clinical notes, peer supervision and more. Click the KLOE, land on the record.
🔍 What inspectors actually wrote
We read 186 published inspection reports for clinics like yours and extracted every action a provider was told to take — 120 distinct findings after de-duplication, each tagged to the regulation behind it. Self-assess against every one before anyone visits. Good governance and safe care dominate, followed by training and record keeping.
Note: this is CQC’s draft framework (V6.0) and is not yet in force. We built to the draft on purpose — so you are ready before it lands, not after.

Hair Transplant Clinic
Assessment through to matured growth, fully accounted for — staged diagnosis, a complete operative record, and growth reviews that run to twelve months.
Classified and quantified
Diagnosis is staged with Norwood-Hamilton or Ludwig, supported by donor density, donor quality, hair calibre and texture, scalp laxity, miniaturisation percentage and trichoscopy findings.
- Norwood-Hamilton or Ludwig staging
- Donor density and quality, calibre, texture, scalp laxity
- Miniaturisation percentage and trichoscopy findings
Expectations on the record
Expectation and psychological screening, the cooling-off explanation and a recorded suitability outcome sit with the assessment.
- Expectation and psychological screening
- Cooling-off explanation documented
- Suitability outcome recorded, not implied
Grafts accounted for
Technique, the named surgeon and GMC number, delegated technician tasks, anaesthetic volumes, and graft counts extracted, implanted and transected — with the transection rate derived automatically.

All clinical photography goes to private storage and is viewed only through signed URLs by signed-in staff.
- Private storage, never a public URL
- Viewed through signed URLs by signed-in staff
Per tenant and per client
Every module is separately switchable per tenant and per client record, and all data is tenant-isolated.
- Enabled per clinic and per client record
- All data isolated to the owning tenant
Colour-blocked status
List views use colour-blocked status so outstanding patch tests, overdue reviews, safety gaps and adverse events read at a glance.
- Outstanding patch tests and overdue reviews
- Safety gaps and adverse events surfaced in the list
Prescribing Safety Checks
Every prescription checked before it is issued. INTENTIQ screens every prescription against the patient’s own health record, cross-checks allergies, current medicines and active conditions automatically, and will not let the prescription be issued until the prescriber has reviewed and signed off the findings.
Checked against the patient’s own record
Allergies, current medications and active diagnoses are cross-checked the moment a prescription is drafted, and every risk is graded with a recommended action.
- Screening against recorded allergies, medicines and diagnoses
- Risks graded high, moderate, low or informational
- Each risk carries a recommended action, not just a warning
Nothing issued without sign-off
The prescription is blocked until the clinician has reviewed and acknowledged the findings, and the reasoning is captured whenever a prescriber proceeds anyway.
- Prescribing blocked until findings are reviewed and acknowledged
- Clinical reasoning captured when proceeding despite a flag
- A permanent, timestamped safety record attached to every prescription
Why it matters — prescribing safety is one of the first things an inspector asks about. INTENTIQ makes the check unavoidable, and provides the evidence that it happened.
Clinical Letters & Referrals
Professional correspondence in minutes, not evenings. Referrals, GP notifications, discharge summaries and treatment summaries are written, tracked and closed off inside INTENTIQ, with AI drafting the first version from the patient’s own record.
Drafted from the record, reviewed by a clinician
Referral, two-week-wait, GP notification, discharge and treatment summary letters, each drafted from the patient’s history and treatments and always clinician-reviewed before it leaves.
- Referral, two-week-wait, GP notification, discharge and treatment summaries
- AI-assisted first drafts built from the patient’s own history
- Suspected skin cancer referrals raised straight from the lesion register
- Recipient details, urgency marking and a copy-to-patient option
Tracked until someone answers
A letter is not finished when it is sent. Draft, finalised and sent statuses are held with the send method, and the outcome or reply is logged against the letter itself.
- Draft, finalised and sent statuses, with the send method recorded
- Outcomes and replies logged against the letter
- Nothing is left sitting unanswered
Why it matters — urgent referrals are only safe if they are chased. INTENTIQ tracks the reply, not just the letter.
Loyalty, Referrals & Offers
Reward the patients who bring you the next one. A complete patient rewards engine: points for spend, a referral scheme that rewards both sides automatically, and promotional offers with proper controls.
Word of mouth, measured
A configurable points programme and a unique shareable referral code for every patient, with the referral tracked from first mention through registration to first treatment.
- Earn rate, point value, welcome bonus, expiry and minimum redemption
- A unique shareable referral code for every patient
- Tracked from first mention to registration to first treatment
- Rewards issued automatically to both the referrer and the new patient
- A full points ledger — every award, redemption and adjustment, with who and why
Offers that do not leak
Percentage, fixed amount, free item or bonus point offers, each with the date windows and usage limits that stop a code spreading further than intended.
- Percentage, fixed amount, free item or bonus points
- Date windows, total and per-patient usage limits
- Minimum spend and new-patient-only rules
- Automatic eligibility checking at the till, every redemption logged
Why it matters — word of mouth is the most valuable channel in aesthetics. This measures it, rewards it, and stops discount codes leaking.
Reviews & Reputation
More five-star reviews, and early warning on the rest. INTENTIQ asks for reviews at the right moment, on the platform you choose, and routes unhappy feedback inwards rather than online.
Your platform, your wording
Requests go by email, SMS or are logged in person, pointing at whichever platform you use, with a suggested wait time after treatment so they land when patients are happiest.
- Review requests by email, SMS or logged in person
- Google, Trustpilot, Facebook, Doctify or your own platform
- Fully editable email and SMS templates with automatic personalisation
- Suggested wait time after treatment
Low ratings reach you first
Ratings are recorded against the patient and the treatment, you can publish the clinic’s reply from inside the system, and a low rating is escalated rather than left to sit.

Why it matters — reputation and patient safety are the same conversation. A poor review is feedback — INTENTIQ makes sure it reaches you before it reaches Google.
All four modules are multi-clinic ready, use each clinic’s own branding, currency and message templates, and inherit INTENTIQ’s audit trail and role-based access as standard.
